Once the referral is submitted, we will review the young person's needs, supporting information and hoped-for outcomes before creating a personalised proposal where appropriate.

What happens after you submit the referral?

Submitting the form does not automatically confirm provision.

It begins the review process.

1. Referral received

The referral is sent to Beccy and Lindsey for review.

2. Information reviewed

We look at the young person's needs, current context, EHCP outcomes, risks, support requirements and hoped-for next steps.

3. Further conversation if needed

If we need more information, we may contact the referrer or relevant professional before preparing a proposal.

4. Proposal created

Where BHVA is an appropriate fit, we create a proposal outlining the recommended support, structure, intended outcomes and weekly rate.

5. Approval confirmed

Provision begins once the proposal has been greed by the person or organisation responsible or the funding decision.

6. Start and review arrangements agreed

We confirm start details, communication routes and review/reporting expectations.

Alternative Provision FAQs

Who can complete the AP referral form?

The form is for schools, SENCOs, local authority teams, EHCP caseworkers and other professionals involved in supporting the young person.

Can parents complete the AP referral form?

Parents and carers can ask questions, but official AP referrals usually need to come through a school, local authority team, EHCP caseworker or relevant professional.

If the enquiry is about EOTAS, this is a separate route.

Does submitting the form confirm provision?

No. Submitting the form starts the referral review process. Provision is only confirmed once suitability has been reviewed, a proposal has been created and the proposal has been approved.

What documents should be uploaded?

Useful documents include an EHCP, risk assessment, behaviour support plan, safeguarding plan, medical plan, attendance information and previous professional reports.

Does the young person need an EHCP

Not always, but if the young person has an EHCP, we will ask for it so provision can be considered alongside agree outcomes and support needs.

Can the referral include AP Youth Group?

Yes. If the young person may benefit from supported social confidence and communication work, please select AP Youth Group on the form.

Where does provision take place?

Most provision takes place at BHVA Studios. School-based delivery can be considered where appropriate.

How quickly will provision start?

Start dates depend on suitability, availability, the proposed support package and approval from the funding decision-maker.

Will the proposal include pricing?

Yes. The proposal will include the recommended support and weekly rate.
