This notice explains how BHVA processes personal data when you engage with our services
What information we collect
Depending on the service, we may process identification and contact details, booking and contract information, attendance records, tutor notes, medical or SEND information, and safeguarding or incident information.
Why we collect this information
We use personal data to deliver services, manage bookings and payments, support wellbeing and safety, maintain registers, meet safeguarding obligations, and communicate with clients and families.
Legal basis for processing
We rely on Contract, Consent, Legal Obligation, and Legitimate Interests depending on the processing activity.
Sensitive data
Where medical, SEND, or safeguarding data is processed, this is handled with enhanced protections and strict access controls.
Recipients & systems
Personal data may be processed using ExpertSpace, Stripe, Square, GoCardless, Xero, Microsoft Teams, and OneDrive.
Retention
Referral and EHCP data is retained for the duration of provision and for three years after last contact, or six year for financial records.
Your rights
You have the right to request access, correction, deletion, withdraw consent, and lodge a complaint with the ICO.
